THE SITUATION
One Za’abeel Towers, developed by Ithra Dubai, redefines the Dubai skyline with its iconic cantilevered structure known as The Link. The project includes ultra-luxury hospitality, retail, residential, and commercial elements, positioning it as one of the most ambitious mixed-use developments in the region. But beyond its architectural innovation, One Za’abeel was also designed to be digitally ready for operations from the moment of handover.
From the outset, the client prioritised FM mobilisation and asset data integrity as core deliverables—not post-construction afterthoughts. This required a shift away from traditional last-minute documentation practices toward a real-time, transparent, and standardised approach to asset information delivery.
THE CHALLENGE
Managing FM mobilisation on a project of this scale and complexity posed significant challenges. Aligning the data requirements of multiple stakeholders—including contractors, vendors, and facility managers—required early planning and continuous oversight. Traditional handover processes simply would not meet the project’s digital and operational expectations.
There was also a risk of delayed FM readiness, misaligned asset registers, and non-compliance with data standards. Without a centralised platform and clearly defined asset information requirements (AIR), the project could have faced significant cost and time overruns during the handover phase.
OMTRAK'S CONNECTED SOLUTION
To overcome these challenges, Ithra Dubai engaged OmTrak’s Project Handover Compliance Consulting (PHCC) team and deployed the OmTrak O&M Manuals platform.
Module
The OmTrak O&M Manuals platform was used to manage and deliver asset documentation in real time throughout construction. Contractors and vendors progressively uploaded manuals, datasheets, and certificates directly against asset types and locations. This enabled:
- Live documentation submission and approvals
- Real-time visibility for all stakeholders
- Early FM team access and familiarisation
- Seamless integration with CAFM systems
By soft opening, over 90% of documentation was complete, reviewed, and ready for operational use.
OmTrak’s PHCC team worked closely with Ithra Dubai to embed a clear and structured asset data strategy from the start. A tailored Contractor AIR Specification was developed and included in tender packages, detailing:
- Asset classification and tagging protocols
- Level of Information Need (LOIN) templates
- Progressive delivery milestones for asset data
- CAFM and Digital Twin alignment
This early and ongoing engagement ensured all data was accurate, standardised, and fully aligned with operational goals.
THE RESULT
OmTrak’s solution enabled a live and transparent digital handover for One Za’abeel. By the time of the soft opening, over 90% of the project’s asset documentation had already been validated and linked into the CAFM platform. This meant that the appointed FM team could mobilise immediately using verified asset registers, maintenance schedules, and linked technical documentation.
The result was full operational readiness from day one—avoiding the common pitfalls of post-handover data gathering and late mobilisation. Procurement of FM services and spare parts occurred on time, and warranty and DLP tracking was activated without delay.
Ultimately, One Za’abeel set a new benchmark for digital project delivery in the Middle East.
